This Privacy Policy explains how we collect, use, disclose, and protect personal information when you use TradeCheck (the "Service"). "Personal information" has the meaning in the Privacy Act 2020.

1.2 Workspace information
- Tenant, client, project, and site details
- Team invitations and access records
1.3 Service content (Customer Data)
- Inspection records, checklists, and certifications
- Photos, notes, signatures, and attachments
- Uploaded documents
1.4 Billing information
- Plan, billing contacts, and invoice metadata
- Payment status and payment method tokens handled by our processor
1.5 Usage and device information
- IP address, browser, and device details
- Feature usage and security audit events
1.6 Communications
- Support messages, feedback, and other correspondence
2. Why we use personal information
We use personal information to:
- provide and operate the Service,
- manage authentication and role access,
- process subscriptions and payments,
- deliver support,
- secure the Service and prevent abuse,
- improve performance and product quality, and
- comply with legal obligations and enforce our terms.
3. Lawful collection and minimisation
We aim to collect only information reasonably necessary for lawful purposes connected to providing and improving the Service. You should avoid uploading unnecessary personal information.
4. Sharing and disclosure
We may disclose personal information:
- to service providers and subprocessors that support delivery of the Service,
- to professional advisers where required,
- to regulators or law enforcement where required or authorised by law, or
- with your consent or at your direction.

Service providers may process data outside New Zealand. We take reasonable steps to ensure protection consistent with this Policy and applicable law.
6. Identifying photos and third-party data
If you upload photos or data identifying individuals, you confirm you have authority to collect and provide that information, including notices or consents where required.
7. Retention and deletion
We retain personal information while required to provide the Service, comply with legal obligations, resolve disputes, and enforce agreements.
- Deleted content is removed from active systems within a reasonable period.
- Backup systems may retain deleted data for a limited period.

We take reasonable steps to protect personal information from unauthorised access, use, disclosure, alteration, and loss. See Security Overview.
9. Access and correction
You can request access to or correction of personal information we hold about you by contacting feedback@solisai.co. We may require identity verification.

If we become aware of a privacy breach involving personal information in our control, we will assess it and notify affected persons and the NZ Office of the Privacy Commissioner where required.
