TradeCheck Data Retention and Deletion Policy

This policy describes retention and deletion principles for data processed through TradeCheck.
1. Principles
TradeCheck retains data only as long as reasonably required to:
- operate and secure the Service,
- meet legal and contractual obligations,
- resolve disputes and enforce agreements.
2. Retention categories
2.1 Workspace operational data
Includes tenant, client, project, site, inspections, certifications, uploads, and related workflow data.
Default retention: while the account/workspace remains active, unless deleted earlier by user action or support-assisted deletion.
2.2 Account and access data
Includes user profiles, role/membership links, and authentication-related references.
Default retention: while account is active, with limited post-closure retention for security and audit obligations.
2.3 Billing and financial records
Includes invoices, plan history, and billing event metadata.
Default retention: retained for accounting, audit, and legal compliance periods.
2.4 Security and audit logs
Includes access and security event records used for monitoring and incident response.
Default retention: retained for operational security and compliance purposes, then removed or archived.
2.5 Support and help quality data
Includes support interactions and Ask Bob rating records needed for product and support quality control.
Default retention: retained while operationally useful, then removed or de-identified.
3. Deletion on account closure
On account closure or termination:
- customer data is scheduled for removal from active systems within a reasonable period,
- backups may retain data for a limited period before cycling out.
4. Backups
Backup retention may temporarily preserve deleted data until backup rotation completes. Backups are not intended as an alternative customer archive.
5. Customer-initiated deletion requests
You can request deletion support at feedback@solisai.co. We may require account verification and scope confirmation before processing.
6. Legal holds and exceptions
We may retain specific records longer where required by law, dispute handling, fraud prevention, or regulatory obligations.
7. Policy updates
Retention schedules and procedures may change as the platform evolves. Material updates will be reflected in this policy.
